Operation Support Analyst

JOB DESCRIPTION Workflow Optimisation & Automation Explore and leverage Generative AI tools to identify opportunities for improving existing operational workflows. Assist in developing and testing automation solutions using Microsoft 365 and Power Automate. Support the optimisation of Excel formulas, VBA scripts and repetitive administrative processes to improve operational efficiency. Data Analytics & Reporting Assist in extracting, consolidating, cleaning and analysing operational data from multiple business systems. Utilise AI tools to support data interpretation, generate insights and summarise operational performance. Assist in developing and maintaining interactive dashboards and reports to support data-driven decision-making. Digital Documentation & Process Improvement Assist in developing, reviewing and updating Standard Operating Procedures (SOPs), process flows and operational guidelines. Leverage AI-powered tools to streamline documentation and improve information management. Support the organisation and maintenance of operational documents within Microsoft SharePoint. ERP & System Integration Support Gain exposure to business systems and assist in understanding how different operational platforms support daily business activities. Support basic data management, system documentation and process mapping across ERP, Warehouse Management System (WMS) and Manufacturing Execution System (MES). Operational & Project Support Work closely with the Operations Management team on operational improvement initiatives and digital transformation projects. Assist in conducting process reviews, identifying operational gaps and proposing practical solutions. Undertake ad-hoc analytical assignments and other duties related to operational improvement as assigned. LEARNING & DEVELOPMENT / INTERNSHIP OUTCOMES Throughout the internship, candidates will gain practical exposure and develop an understanding of the following areas: End-to-End Production & Supply Chain Management Gain an understanding of the complete product lifecycle, from raw material planning and procurement to production execution, warehousing and final delivery to customers through E-Commerce platforms and OEM channels. Manufacturing & Operations Management Develop practical knowledge of manufacturing operations, including shop-floor monitoring, production tracking, process optimisation and operational efficiency. Warehousing & Inventory Management Understand essential warehousing operations, inventory control techniques, material movement, stock management and order fulfilment processes across multiple distribution channels. ERP Systems & Business Process Integration Gain hands-on exposure to Enterprise Resource Planning (ERP) systems and understand how business operations are managed and integrated through platforms such as AutoCount, Warehouse Management Systems (WMS) and Manufacturing Execution Systems (MES) Practical Automation & AI Application Develop practical skills in leveraging Microsoft 365, Power Automate and Generative AI tools to digitise business processes, automate repetitive tasks and improve operational workflows. Data Analytics & Digital Transformation Build analytical capabilities through real operational datasets, dashboard development, data visualisation and the application of digital solutions to support business decision-making. Requirements Currently pursuing or recently graduated with a Diploma or Bachelor's Degree in Management, Business Analytics, Computer Science, Information Systems, or any related field. Basic knowledge of Microsoft 365 applications, with an interest in low-code automation tools such as Power Automate and integrating AI-powered solutions into business workflows. Basic understanding or exposure to operational software, ERP systems, accounting software, or other business management platforms. Demonstrates a proactive attitude, analytical thinking, and problem-solving abilities, with a willingness to explore new technologies and propose process improvements. Familiarity with generative AI tools such as ChatGPT, Microsoft Copilot, or similar platforms for documentation, data analysis, reporting, and improving operational efficiency.
