Responsibilities include office upkeep, vendor management, inventory tracking, and supporting internal meetings.

Job Details
Key responsibilities:
- Open and close the office punctually each day and manage security systems, air-conditioning, and lighting before leaving
- Maintain cleanliness and tidiness of the office, pantry, meeting rooms, and cigar room
- Prepare and clean the cigar room daily, including refreshing ashtrays every morning and before leaving
- Check groceries, beverages, and office supplies regularly and seek approval before restocking
- Clear trash bins daily and ensure all areas are neat and presentable
- Manage cleaners' schedules, attendance, and performance, and conduct quality checks to ensure high housekeeping standards
- Liaise with external vendors, couriers, and maintenance service providers
- Assist to track drivers' working hours and calculate overtime pay before submitting to HR/Admin for processing
- Serve tea, coffee, and refreshments for guests or upon boss's request
- Prepare and serve food and beverages for both internal and external meetings or events
- Handle confidential documents and correspondence with discretion
- Arrange and track courier services and document dispatch
- Maintain proper filing systems, records, and office inventory lists
- Assist in scheduling, coordination, and logistics for office activities
- Support administrative reporting and communication with HR/Admin HQ
Requirements:
- Minimum SPM or Diploma qualification; Degree is an advantage
- Minimum 2 years' experience in office administration, hospitality, or related roles
- High sense of confidentiality (P&C handling) and professional integrity
- Punctual, disciplined, and reliable
- Organized, proactive, and able to work independently with minimal supervision
- Pleasant, service-minded personality with good communication skills
- Willingness to work slightly extended hours when the office is in use by management or guests
