Job Summary
The Company Secretarial Assistant / Executive will support core corporate secretarial functions including preparing statutory documents, maintaining company records, and ensuring compliance with SSM and LHDN regulations. The role also involves assisting with Public Listed Companies (PLCs), drafting board resolutions, and coordinating meetings for listed and private entities. Candidates should have a relevant diploma or degree and strong organizational and communication skills.

Key Responsibilities
The role involves supporting company secretarial functions, including preparing and filing statutory documents, maintaining and updating statutory registers and company records and assisting with company incorporation and changes to company structure.
The individual will help draft board resolutions, minutes and other corporate governance documents, while coordinating with internal teams and external authorities to ensure timely compliance with SSM and LHDN regulations.
The role also includes tracking filing deadlines, organizing documentation for audits or regulatory reviews, responding to routine client queries on corporate compliance and assisting senior team members with administrative tasks and process improvements.
The individual will help senior members in handling secretarial matters for Public Listed Companies (PLCs).
The individual should also possess the willingness to learn Bursa Malaysia Listing Requirements, corporate announcements, circulars and AGM/EGM procedures for listed entities.
The individual will assist in organizing board meetings, board committee meetings and general meetings for listed/public companies.
Requirements
Candidates should possess strong knowledge of company secretarial practices, corporate governance and SSM compliance requirements.
Candidates should possess skills in document preparation, record-keeping and attention to detail for managing statutory registers and filings.
Candidates should possess effective communication and interpersonal skills for liaising with clients, regulators and internal stakeholders.
Candidates should possess good organizational and time-management skills to handle multiple deadlines and prioritise tasks efficiently.
Candidates should possess proficiency in office productivity tools (e.g., word processing, spreadsheets) and be comfortable with digital document management.
Candidates should possess a diploma or degree in Corporate Administration, Secretarial Studies, Business, Law, or a related field; ICSA or equivalent professional qualifications are an added advantage.
Candidates should possess the ability to work independently and as part of a team, with a high level of integrity, professionalism and discretion in handling confidential information.
