Job Summary
As a Purchasing Executive, you will manage the end-to-end purchasing process including sourcing suppliers, issuing purchase orders, and tracking deliveries. You will handle inventory coordination, utilize Excel and ERP tools, and resolve any delivery, quality, or shortage issues. This role requires strong communication skills and attention to detail to improve operational efficiency.

Responsibilities
Project & Order Management
- Manage the end-to-end purchase order cycle from RFQ to PO issuance, ensuring accuracy, timely approvals, and alignment with budget.
- Validate order details, pricing, and delivery terms before issuing POs to avoid rework.
- Track order confirmations and delivery timelines, escalating delays to operations and warehouse promptly.
- Maintain audit-ready purchase records in ERP and structured Excel logs for easy reporting.
Supplier Relations & Negotiation
- Source and qualify suppliers across material and packaging categories using clear comparison criteria.
- Compare quotations, recommend best-value options, and document selection rationale for management.
- Negotiate prices, payment terms, and delivery conditions to improve commercial outcomes.
- Build and maintain professional supplier relationships and run performance checks to reduce lead time, improve quality, or lower costs.
Inventory Control & Reporting
- Monitor stock levels daily and coordinate replenishment to prevent stockouts and support production.
- Calculate and recommend reorder points using consumption trends from ERP and Excel.
- Prepare regular purchasing, inventory, and exception reports for management review.
- Lead root-cause follow-up and coordinate with warehouse and operations to resolve delivery, quality, and shortage issues quickly.
Requirements
Qualifications & Experience
- Diploma or higher in Business Studies, Business Administration, Management, or a related field.
- Fresh graduates are encouraged to apply; candidates with 1–2 years of procurement or purchasing experience will have an advantage.
- Experience with manufacturing, packaging, or supplier-facing operations is a plus.
Hard Skills & Knowledge
- Proficient in Excel for quotation analysis, pivot tables, and basic reporting.
- Familiar with basic ERP or purchase order systems for PO issuance and record keeping.
- Practical understanding of inventory control concepts and reorder point calculation.
Soft Skills & Qualities
- Communicate effectively in English, Bahasa Malaysia, and Mandarin as required.
- Strong interpersonal and negotiation skills.
- Proactive, prompt, and responsive.
