Job Summary
Altomate Corporate Services is seeking an experienced Senior Company Secretary (Team Lead) to manage the Company Secretarial team and oversee high-quality corporate secretarial services. The role involves team leadership, ensuring strict compliance with the Companies Act 2016 and SSM requirements, and managing complex client portfolios. Candidates will also drive process improvements, mentor junior staff, and act as a senior point of contact for key clients.
Responsibilities

Required Skills
- Degree in Corporate Administration, Business, Accounting, Finance, Law, or related field.
- 4–7 years of relevant company secretarial experience with supervisory background.
- Strong knowledge of Companies Act 2016 and SSM procedures in Malaysia.
- Strong leadership, coaching, and people-management skills.

We are looking for an experienced and proactive Senior Company Secretary (Team Lead) to lead the Company Secretarial team and oversee the delivery of high-quality corporate secretarial services to clients. The role will be responsible for team leadership, regulatory compliance, client management, quality control, process improvement and staff development, while ensuring all company secretarial matters are handled accurately and within the prescribed timelines under the Companies Act 2016, SSM requirements and other applicable regulations.
Key Responsibilities
- Lead, supervise and support the Company Secretarial team in managing daily operations and client portfolios.
- Allocate tasks and workload effectively among team members.
- Provide technical guidance and senior-level support for complex or sensitive corporate secretarial matters.
- Review team members' work and provide constructive feedback to improve quality and efficiency.
- Coach and mentor junior and intermediate company secretaries to strengthen their technical knowledge and professional capabilities.
- Monitor individual and team performance against agreed KPIs and targets.
- Foster a collaborative, accountable and professional team culture.
- Step in to resolve operational issues and assist the team in meeting urgent deadlines.
- Oversee and review company secretarial work to ensure compliance with the Companies Act 2016, SSM requirements and relevant regulatory guidelines
- Review and supervise preparation and lodgement of Annual compliance and SSM submission:
- Review complex corporate actions and advise clients on the appropriate statutory requirements and procedures.
- Keep up to date with changes to SSM requirements, Companies Act 2016 and other relevant regulatory developments.
- Ensure documents are complete, accurate and consistent with statutory requirements.
- Identify potential compliance risks and escalate significant issues to management where necessary.
- Act as a senior point of contact for key clients and complex corporate secretarial matters.
- Provide professional advice and practical solutions on company secretarial and statutory compliance matters.
- Continuously review and improve Company Secretarial workflows, SOPs and internal processes.
- Identify opportunities to improve turnaround time, productivity and service quality through systemisation and automation.
- Work closely with the Operations, IT, Customer Service and other relevant teams to resolve system and workflow issues.
- Develop and maintain internal guides, checklists and knowledge resources.
- Share updates on SSM announcements, regulatory changes and common compliance issues.

Requirements
- Degree in Corporate Administration, Business Administration, Accounting, Finance, Law or a related field.
- Minimum 4–7 years of relevant company secretarial experience, preferably with experience supervising or leading a team.
- Strong knowledge of the Companies Act 2016, SSM procedures and corporate secretarial practices in Malaysia.
- Experience in handling a portfolio of companies and various corporate secretarial transactions.
- Strong understanding of statutory filing requirements and corporate compliance.
- Experience in reviewing company secretarial documents and handling complex corporate matters.
- Strong leadership, coaching and people-management skills.
- Excellent organisational and time-management skills.
- Strong attention to detail with a high level of accuracy.
- Good written and verbal communication skills.
- Ability to manage multiple deadlines and work in a fast-paced environment.
- Proactive, responsible and able to work independently with minimal supervision.
- Good problem-solving and decision-making abilities.
- Familiarity with digital company secretarial platforms and SSM systems is an advantage.
