About the Role We're looking for a Senior Project Lead who treats every project as their own. You'll lead projects from the first client meeting to launch, working with our tech lead, designers, developers and sales team. You'll handle two kinds of projects: - Event projects: web apps for conferences and events. Deadlines are fixed by the event date and cannot move. Clients expect fast replies, quick revisions and steady updates, and input keeps coming until the event goes live. - Digitalization projects: custom web apps and systems for businesses. These run on structured timelines and milestones, with a set number of revisions per delivery. You'll typically manage 3 to 5 projects at a time, rising to 10 or more during peak event seasons. What You'll Do Client onboarding and requirements - Run the client onboarding meeting for every project: align requirements, map out the flow, and ask the questions that prevent surprises later - Follow up to gather any missing requirements before work starts - Turn client needs into clear, actionable briefs for the tech lead, designers and developers Planning and timelines - Build realistic project timelines with proper buffers and enough UAT time before launch - For event projects, plan backwards from the event date and flag risks early - For digitalization projects, set milestones and hit them, ideally ahead of schedule Client management - Be the client's main point of contact: reply promptly, update proactively, and never let them chase you - Understand what the client is really worried about, not just what they said - Present mockups and revisions in meetings, not piecemeal over WhatsApp - Get clients to compile feedback before each revision round, and confirm one key person as the approver - When a client asks for changes, work out whether it's an add-on or a scope change. Add-ons go to a revision or Phase 2; scope changes are confirmed on output, flow and cost, and you revert to the client the same day or next day at the latest - Deliver bad news early, with options, not excuses Team coordination - Work closely with the tech lead, designers, developers and sales to keep tasks clear and timelines realistic - Review team output against requirements before anything goes to the client - Protect the team from unclear or shifting requests by clarifying first, briefing second Documentation - Strong documentation habits: you write things down properly, not just pass them on verbally or over chat - Able to keep clear, up-to-date records of project progress, meeting notes, requirements, client decisions and change requests - Organised in storing and sharing project materials so anyone on the team can find what they need without asking - Comfortable using shared project tools (e.g. Notion, ClickUp, Google Workspace) as the single source of truth for each project Delivery and risk - Keep every project within agreed scope, time, cost and quality - Spot issues early and come with practical solutions - Escalate risks to management with clear options so decisions can be made fast - Help strengthen and uphold our project management process across the team Working Arrangement - Monday to Thursday in our Kota Damansara office, Friday work from home - Occasional client visits and meetings - Reports to the Head of Digital Requirements What We're Looking For - Degree in any relevant field - 4 to 7 years of working experience, with at least 3 years managing web or app projects - Solid understanding of how websites and web apps are built, and how design, development and QA work together - Fluent in English and spoken Mandarin (you'll use both with clients and the team daily) - Proven ability to build timelines, track progress and follow up until the job is done - Comfortable handling multiple projects and fast turnarounds without losing calm - Event industry or agency experience is a strong plus
