Job Summary
Atomic Group Sdn Bhd is seeking a Senior HR Executive (HR Generalist) to help build and manage their HR function in a hybrid working arrangement based in Kepong, Kuala Lumpur. As the company's first dedicated HR hire, you will handle recruitment, onboarding, payroll coordination, employee records, and performance reviews while working directly with the COO. This role offers an individual contributor the opportunity to take ownership of end-to-end HR operations and grow alongside a expanding consumer brands group.
Responsibilities
- Coordinate full-lifecycle recruitment and hiring processes
- Manage onboarding, offboarding, and employment documentation
- Coordinate monthly payroll and statutory administration (EPF, SOCSO, EIS, PCB)
- Maintain complete and confidential employee records
- Support performance reviews, appraisals, and disciplinary matters
- Develop and maintain practical HR policies, SOPs, and the employee handbook
Required Skills
- Minimum 3 years HR generalist experience in Malaysia
- Diploma/Degree in HRM, Business Administration or related field
- Knowledge of Malaysian Employment Act and statutory administration
- Experience in payroll processing and coordination
- Proficiency in English, Bahasa Malaysia, and Mandarin
- Strong organizational, digital record-keeping, and communication skills

What you’ll do
- Coordinate recruitment from advertisement to offer. Manage hiring for approved roles, screen applications, arrange interviews, keep candidates informed, and track hiring progress.
- Make onboarding and offboarding run smoothly. Prepare employment documentation, coordinate equipment and access with the relevant teams, and ensure joining and exit formalities are completed.
- Keep employment documents accurate and current. Prepare offer letters, employment contracts, probation confirmations, and other HR correspondence using approved templates and applicable requirements.
- Coordinate payroll and statutory administration. Check monthly payroll inputs and work with Finance or the payroll provider on timely processing and submissions for EPF, SOCSO, EIS, and PCB.
- Maintain reliable employee records. Keep personnel files, leave records, payroll documentation, and other HR information complete, organised, and confidential.
- Keep probation and appraisal cycles on track. Coordinate review schedules, issue templates, follow up with managers, and document outcomes and agreed actions.
- Support fair and well-documented employee processes. Assist leadership with performance and disciplinary matters, including correspondence, show-cause letters, and records of proceedings.
- Build practical HR policies and processes. Develop and maintain SOPs, policies, and the employee handbook, and clearly communicate approved updates to employees.
- Support workforce planning. Track headcount against approved plans and provide clear updates on vacancies, hiring progress, and upcoming people-related actions.
- Be a dependable point of contact for employees. Handle questions about policies, payroll, leave, medical claims, and benefits, resolving routine matters and escalating issues appropriately.

Requirements
What we’re looking for
- At least 3 years of relevant HR generalist experience in Malaysia, with the ability to manage day-to-day HR responsibilities independently.
- A Diploma or Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
- Working knowledge of Malaysian employment requirements, including the Employment Act 1955 and statutory administration involving EPF, SOCSO, EIS, and PCB/LHDN.
- Hands-on experience in payroll processing or payroll coordination, with careful attention to accuracy and deadlines.
- Strong organisation and follow-through. You keep records current, spot missing information, and make sure important actions are completed.
- Confidence using Microsoft Office or Google Workspace and maintaining organised digital records.
- Strong written and spoken English and Bahasa Malaysia, with Mandarin proficiency for internal communication.
- Sound judgment, discretion, and integrity when handling confidential employee and business information.
- The ability to communicate clearly with employees and managers, handle sensitive conversations professionally, and recognise when to seek guidance.
- A practical approach to improving processes and creating structure in a growing organisation.
Experience that would be an advantage
- Working as the sole or first HR hire in an SME or growing company.
- Supporting multiple brands or business units.
- Using HRIS or Malaysian payroll software.
- Experience in health, wellness, beauty, or FMCG.
- Supporting foreign-worker or cross-border employment matters.
- Familiarity with industrial relations and domestic inquiry procedures.
