Job Summary
Looking for a hands-on role that mixes numbers with everyday office life, you will help keep our books tidy, keep the office running, and support small businesses and corporate clients. You will develop technical competence in bookkeeping, manage administrative operations, and improve office processes. The ideal candidate has relevant experience in accounting or admin roles and practical knowledge of accounting software like MYOB or QuickBooks.

Responsibilities
Accounting & Reporting
- Maintain daily bookkeeping including general ledger entries, bank reconciliations, and petty cash tracking.
- Prepare monthly financial summaries and support month-end closing tasks for review by the lead accountant.
- Manage accounts payable and receivable, follow up on outstanding invoices, and record supplier payments.
- Support simple payroll runs and statutory filings using local payroll procedures.
Administrative Operations
- Foreigner Work Permit Pre application documents preparations
- Oversee office administration such as filing, supplier coordination, and inventory of office supplies.
- Handle incoming calls and client emails, routing queries and logging requests for follow up.
- Coordinate meetings, prepare basic minutes, and manage travel or delivery arrangements as needed.
- Maintain organised physical and digital records for easy retrieval during audits and client requests.
Process Improvement & Team Support
- Create and update simple templates for invoices, expense claims, and standard operating procedures.
- Assist with basic cost tracking and help identify small efficiency gains in routine tasks.
- Support colleagues during busy periods, covering reception or bookkeeping tasks to keep operations smooth.
- Communicate clearly with external vendors and clients to resolve routine discrepancies and follow up on documents.
Requirements
Qualifications & Experience
- Minimum 2 years of relevant experience in accounting or admin roles, preferably within professional services or small enterprise settings.
- Diploma or certificate in Accounting, Finance, or related field is preferred but equivalent work experience is accepted.
- Prior exposure to month-end close, invoicing cycles, or basic payroll tasks is required.
Hard Skills & Knowledge
- Practical experience with MYOB, QuickBooks, or similar accounting software and solid Microsoft Excel skills.
- Understanding of basic accounting principles, accounts payable and receivable workflows, and bank reconciliation processes.
- Familiarity with local statutory requirements for payroll and invoicing is an advantage.
- Comfortable with digital filing, email management, and creating simple templates for daily work.
Soft Skills & Qualities
- Organised and detail oriented, with the ability to manage multiple small tasks with minimal supervision.
- Good communication skills in English and Bahasa Malaysia, both written and spoken.
- Problem-solving attitude and willingness to learn new tools and practices to improve team efficiency.
- Reliable, proactive, and customer-focused when liaising with clients and vendors.
