HR Assistant
Job Summary
The HR Assistant will provide comprehensive support across various human resources functions, including recruitment, onboarding, attendance, training, and general HR operations. The role requires handling HR documentation, maintaining accurate records, and coordinating routine administrative tasks. The ideal candidate will assist in ensuring smooth daily HR processes while maintaining strict confidentiality.
Responsibilities
- Assist with recruitment, candidate screening, and interview coordination
- Support employee onboarding, documentation, and lifecycle administration
- Manage attendance, leave records, and monthly reporting
- Coordinate training programmes and HRDC documentation
- Provide general administrative support for daily HR operations
Required Skills
- Diploma or Bachelor's Degree in HR or related field
- 1–2 years of HR or administrative experience (fresh graduates welcome)
- Proficiency in Microsoft Office applications
- Good communication, organizational, and interpersonal skills
- Fluent in English and Bahasa Malaysia

Recruitment Support
- Assist with job postings on recruitment platforms and other sourcing channels.
- Screen and shortlist candidates based on job requirements.
- Coordinate interviews and communicate with candidates on interview arrangements.
- Maintain and update recruitment records and candidate information.
- Prepare recruitment-related documents and support the onboarding process for new employees.
Employee Onboarding & Administration
- Prepare documentation for new hires and ensure all required documents are properly completed.
- Assist with new employee registration and HR system updates.
- Coordinate employee orientation and onboarding arrangements.
- Maintain accurate and up-to-date employee personal files and records.
- Assist with probation and confirmation documentation.
Attendance & Leave Administration
- Assist in monitoring employee attendance and leave records.
- Follow up with relevant employees or departments on attendance and leave discrepancies.
- Update and maintain attendance and leave records in the HR system.
- Assist with monthly attendance-related reports and HR records.
Training Administration
- Assist in coordinating internal and external training programmes.
- Liaise with employees, trainers, and departments on training arrangements.
- Prepare training materials, attendance lists, forms, and other related documentation.
- Maintain accurate training records and supporting documents.
- Assist with HRDC-related documentation and administrative matters.
Employee Lifecycle Support
- Assist with documentation for employee transfers, confirmations, extensions, resignations, and other employee movements.
- Prepare and maintain relevant HR forms and records.
- Assist with exit clearance and employee offboarding documentation.
- Ensure employee records are properly updated throughout the employee lifecycle.
HR Documentation & Filing
- Maintain proper filing and organisation of employee records and HR documents.
- Ensure HR documents are properly recorded, updated, and securely maintained.
- Assist in preparing HR letters, forms, reports, and other documentation as required.
- Maintain confidentiality of employee and company information.
HR Operations Support
- Provide administrative support for day-to-day HR operations.
- Assist with HR reports, employee data, and information required by management.
- Coordinate with other departments on routine HR-related matters.
- Support the implementation of HR policies, procedures, and processes.
- Assist with HR projects and activities as assigned.
Requirements
- Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.
- 1–2 years of relevant HR or administrative experience. Fresh graduates with relevant qualifications may also be considered.
- Basic understanding of HR processes and employment practices.
- Good organisational and administrative skills.
- Good attention to detail and accuracy in handling documents and employee records.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office applications.
- Able to handle confidential information professionally.
- Able to work independently as well as in a team.
- Good command of English and Bahasa Malaysia.
